Responsibilities Span Event Management
The Associate Producer of Events will be deeply involved in the planning and execution of numerous public events. These include the annual Gala, art exhibit openings, field convenings, late-night dance parties, weekly Family Programming, and Alumni and Community Days. The role extends beyond event planning to encompass artist logistics, including contract negotiation, travel arrangements, visa support, and ensuring artist well-being in collaboration with the Health Care Coordinator.
A significant portion of the role involves interdepartmental collaboration, working with Marketing & Media and Production to ensure seamless event execution and accurate artist representation. Budget tracking, program review, and providing support to the Programming Department are also key responsibilities. The position also includes supervisory duties, mentoring a seasonal intern and leading events teams as needed.
Demanding Schedule and Physical Requirements
The schedule is demanding, scaling from 40-70 hours per month during the initial part-time phase to a five-day work week averaging 35-40 hours in May, and a six-day work week averaging 48-55 hours from June to August. The role requires a valid driver’s license, with the possibility of driving a 12-passenger van, and a willingness to work evenings, weekends, and respond to emergencies.
